1. Choose the Zoho voice feature by the artifact it changes
Zia Voice Assistant is an accessibility control for navigating the CRM and performing predefined actions on the displayed interface. Ask Zia is a conversational AI that supports voice or text across Insights, Help, and Action intents. Neither is the same as supplying prose to a note field.
The Zoho CRM iOS app can record up to five minutes and either save a Voice Note or convert the recording to a Text Note. Call Transcription begins with recorded telephony audio and attaches a transcript to a Call record. On Mac, system Dictation can instead supply ordinary text to a supported focused note field.
2. Use Zia Voice Assistant for visible CRM controls
Enable Zia Voice Assistant in Zoho CRM’s Accessibility controls. Activate it with Control + Z + V or the microphone icon in the bottom toolbar. Number Overlay can label clickable elements, Assist Idle Time Out controls when listening becomes inactive, and “Show Voice Commands” opens the available command list.
Zoho currently documents English commands only and says the feature is unavailable in CN, SA, and JP data centers. Because it can navigate and perform actions on the displayed screen, confirm the active module, record, field, and resulting control before completing a command.
3. Treat Ask Zia voice as an AI and action surface
Ask Zia accepts spoken or typed queries and separates them into Insights, Help, and Action modes. Insights can retrieve CRM data and visualizations; Help explains CRM features; Action can expose options for workflows, records, summaries, tasks, meetings, calls, tags, notifications, conversion, functions, and webhooks.
Zoho currently lists Ask Zia for Professional and higher editions in US, EU, and IN data centers. Its conversation history can retain past sessions. A spoken prompt therefore belongs to a connected account and AI workflow, not to generic cursor dictation; inspect the proposed output or action before selecting an actionable option.
4. Keep iOS voice-to-text notes separate from Mac notes
In the Zoho CRM iOS app, open the intended record, start the note recorder, and record for up to five minutes. At the end, choose Save as Voice Note when the audio should remain the artifact or Convert as Text Note when the note should become text.
That native mobile recorder requires microphone access and is not documentation of an identical Mac control. The resulting note remains associated with the selected CRM record, so verify record identity and choose the audio-versus-text outcome deliberately.
5. Treat call transcription as recorded-audio processing
Zoho Call Transcription processes recorded call audio through Google’s speech recognition service and attaches plain text to the Call record. It requires a supported telephony integration with Call Recording enabled, is configured by an admin, and applies to qualifying upcoming calls rather than calls made before the feature was enabled.
Zoho currently lists Professional and higher editions, paid users, English only, a configurable monthly limit up to 18,000 minutes, and usage pricing rounded in 30-second increments. Admins can scope users, profiles, modules, record criteria, incoming or outgoing direction, and call duration.
Recording and transcription must comply with organizational policy and applicable law. A cursor-level Mac dictation session is not a substitute for consent, telephony configuration, transcript access, retention, or the Call record attachment.
6. Dictate an ordinary CRM note on Mac
Open the intended Zoho CRM module, select the record, find its Notes area, and click the note text box. Start the Dictation shortcut configured under System Settings → Keyboard, speak, stop, and confirm the text landed in that note rather than a search box, title, other record, or Zia prompt.
Zoho says creating notes requires Create permission for Notes. Review the optional title, rich-text formatting, attachments, customer-sensitive details, and the selected parent record, then click Save. Each associated note counts as another CRM record, and current note content is limited to 65,535 characters including generated rich-text HTML.
7. Keep each privacy statement at its documented boundary
For Zia Voice Assistant specifically, Zoho says it does not store voice data or use it for training. Do not transfer that statement to Ask Zia conversation history, a saved mobile Voice Note, a converted Text Note, recorded calls, Google-supported Call Transcription, system Dictation, or the CRM record created from the result.
For Apple Dictation, inspect the processing notice under System Settings → Keyboard → Dictation for the active Mac, language, and configuration. Separately review Zoho account permissions, CRM data storage, organization controls, and record visibility before dictating confidential customer information.
8. Troubleshoot the microphone that actually failed
If Zia Voice Assistant does not appear, confirm it is enabled under Accessibility, use Control + Z + V or the bottom microphone, verify English and a supported data center, and check whether a system assistant is conflicting with it.
If ordinary Mac Dictation produces no text, test one sentence in TextEdit, then return to the exact Zoho note field. If iOS recording fails, inspect Zoho CRM microphone access. If Call Transcription is missing, have an admin verify edition, paid-user status, telephony integration, call recording, scope, language, and monthly limits.
9. Add IraVoice only for a separate local text path
Use Zia Voice Assistant when voice should control the CRM interface, Ask Zia when the destination is a connected AI query, the iOS recorder for mobile voice notes, and Call Transcription for governed recorded-call workflows.
IraVoice 0.7.1 is a separate option for macOS 26+ Apple-silicon Macs when recognition and supported formatting should run on the Mac across supported focused text fields. IraVoice does not sign in to Zoho, read or choose records, invoke Zia, retrieve insights, execute actions, record calls, transcribe stored audio, attach a transcript, change permissions, add attachments, or click Save.
