Salesforce voice to text on Mac

Salesforce has several voice-to-text paths. A Mac record field is only one of them.

Salesforce now documents on-device voice commands for Agentforce in its mobile app, on-device in-person meeting transcription that syncs text to Einstein Conversation Insights, configurable Consumer Goods mobile speech workflows, and a Flow action for stored audio. Salesforce Voice is a separate contact-center telephony product. On Mac, ordinary record prose remains a focused-field editing workflow with permissions and an explicit Save.

1. Choose the Salesforce voice path by its action

Agentforce mobile dictation can direct actions and navigate the app. Mobile AI Transcription captures an in-person meeting and syncs the saved text to Einstein Conversation Insights. Consumer Goods Cloud can expose custom voice-driven field workflows. Flow Builder can transcribe a stored Salesforce File. Salesforce Voice handles contact-center calls.

A focused Mac record field is the simple text-input path. These controls can all produce words inside the Salesforce ecosystem, but they differ in device, license, processor, stored artifact, permissions, and whether voice can trigger a CRM action.

  • Use Agentforce mobile when speech should direct an approved agent action.
  • Use Mobile AI Transcription for an eligible consented in-person meeting.
  • Use focused-field Dictation for ordinary prose in a Mac record field.

2. Treat Agentforce mobile voice as an action surface

Salesforce’s current mobile product page describes on-device dictation that can direct actions and navigate the app. It also says conversational Agentforce can summarize accounts, approve discounts, and operate within preset guardrails, while administrators can create tailored actions through Agent Builder, Mobile Builder, flows, data connections, and prompt templates.

The iOS path can also connect with Siri, Shortcuts, widgets, and Control Center. This is not generic cursor dictation. Confirm the organization, active agent, mobile action, record context, guardrails, and visible result before approving or relying on a voice-directed change.

3. Use Mobile AI Transcription for eligible in-person meetings

Salesforce Mobile AI Transcription requires Einstein Conversation Insights, the Seller-Focused Mobile Experience, an eligible Sales edition, administrator enablement, and an active meeting. From the meeting details page, launch the assistant and check the mandatory consent box confirming that every participant agrees to be recorded.

Salesforce says meeting audio is processed locally and is never recorded or stored; only the text transcript is saved and synced to Einstein Conversation Insights. Transcription can continue when navigating away and can work offline, but saving the transcript requires an internet connection. Logging out removes locally held transcripts from that login session.

The current guide lists M4-or-newer iPads and qualifying Android devices with Android 13+, 8 GB RAM, and six CPU cores. Device locale determines transcription language. Treat these requirements as a mobile meeting feature, not a Mac desktop dictation promise.

4. Keep custom mobile and stored-file transcription separate

Consumer Goods Cloud can be configured for hands-free field execution, including survey capture, notes, and order updates. Salesforce explicitly says these voice-driven workflows are not standard built-in features: an administrator or developer must compose Speech-to-Text and intent-processing APIs in the mobile customization layer, and the documented workflow is online and license-bound.

The Flow Builder Convert Speech to Text action starts from an audio file already stored in Salesforce Files. It requires the ContentDocument ID and can use Whisper V3 Turbo or ElevenLabs Scribe V2; Whisper V3 Turbo is the current default. The action lists a 5 MB input limit, invocation limits, variable processing time, and returns transcript text without storing that output automatically.

5. Dictate ordinary text into a Lightning record on Mac

Open the correct object, record, and record type in Lightning Experience. Select Edit or the pencil beside an editable text or text-area field, click at the intended insertion point, start the configured macOS Dictation shortcut, speak, stop, and inspect the result.

Salesforce permissions and page layout determine whether a record or field is editable. Some list views with multiple record types do not support inline editing, and a lock icon means the field cannot be changed there. Review validation messages, duplicates, lookup values, formula behavior, save-option checkboxes, and other edited fields before clicking Save.

6. Do not confuse Salesforce Voice with field dictation

Salesforce Voice, formerly Service Cloud Voice, is an integrated contact-center telephony product for agents, supervisors, callers, queues, and supported telephony providers. It can bring call context, automation, and transcripts into the service workflow.

That product is not the microphone for a note field and does not prove how Mac Dictation audio is processed. Keep call recording, consent, telephony provider, add-on, transcript access, retention, and service permissions separate from live text input.

7. Keep consent, processing, and saved CRM data distinct

Mobile AI Transcription has a specific on-device audio statement and a mandatory consent step. Agentforce mobile dictation directs connected actions. Consumer Goods speech workflows are configured and online. Flow transcription begins with a stored file and a selected model. Salesforce Voice begins with a contact-center call.

System Dictation or IraVoice can create text before it enters Salesforce, but the saved record value still becomes CRM data under the organization’s sharing, field-level security, audit, retention, automation, and compliance policies. Local recognition never makes the final Salesforce record local.

8. Troubleshoot the feature that actually failed

If a Mac field rejects Dictation, test one sentence in TextEdit, then verify record edit permission, field-level access, page layout, inline-edit support, record type, focus, validation, and the explicit Save action. Browser microphone permission is not usually required for system Dictation into a focused field.

If mobile meeting transcription is missing, verify edition, ECI, Sales Cloud Mobile, Seller-Focused Mobile Experience, administrator toggle, active meeting time, consent, supported device, locale, and internet before save. For Consumer Goods or Flow transcription, inspect licenses, configuration, API or action input, file size, model, invocation limit, and returned output independently.

9. Add IraVoice only for a distinct local text path

Use Agentforce mobile for approved connected actions, Mobile AI Transcription for eligible meetings, configured APIs or Flow for automation, Salesforce Voice for telephony, and Lightning controls for record placement and Save.

IraVoice 0.7.1 is a separate option for macOS 26+ Apple-silicon Macs when recognition and supported formatting should run on the Mac across supported focused text fields, or when a spoken CRM update should become reviewable Markdown first. IraVoice does not sign in to Salesforce, read or choose records, invoke Agentforce, approve discounts, launch meetings, collect consent, sync to ECI, call Flow actions, upload audio, operate telephony, bypass permissions, or click Save.
