1. Choose a Breeze prompt or CRM record text
HubSpot’s current mobile documentation includes a microphone control in Breeze Assistant: open Ask Breeze, tap the microphone, speak, then confirm the transcript. That is voice input for an AI-assistant conversation in the HubSpot mobile app.
The current desktop Breeze workflow documents typed, suggested, and saved prompts followed by Send. HubSpot does not present the mobile microphone path as generic speech input for every desktop CRM field. Decide whether you are prompting Breeze or writing a note, email, task, call log, or meeting record before speaking.
2. Focus the exact HubSpot field on Mac
For a note or activity, open the intended contact, company, deal, ticket, or other record, select the appropriate activity control, and place the insertion point in its editable text field. Start the current macOS Dictation shortcut, speak, stop, and confirm that text landed in the intended field.
System Dictation supplies text to a supported focused field. It does not identify the correct CRM record, activity type, recipient, owner, pipeline stage, meeting, or task.
- Confirm the portal and exact CRM record.
- Choose Note, Email, Call, Meeting, or Task deliberately.
- Stop Dictation before changing fields or associations.
3. Keep associations and Save outside speech recognition
HubSpot activities can be associated with several CRM records. The activity editor can also include outcomes, dates, times, participants, reminders, and other structured controls depending on the activity type and account.
Review the visible text, selected records, associations, activity type, and every structured field before using Save note or Log activity. A correct transcript does not prove the note belongs on the correct contact, company, deal, or ticket.
4. Treat Breeze permissions and connected context separately
Breeze Assistant access depends on administrator settings and the user’s own HubSpot permissions. Connected apps and CRM context can expand what Breeze can answer or act on, but those are HubSpot capabilities with separate access and data controls.
Voice input only creates the prompt text. It does not grant permission, choose a connected app, attach a file, select CRM context, approve an action, or verify the result. Review any proposed Breeze action in HubSpot before it changes customer data.
5. Separate speech processing from saved CRM data
A speech-recognition path and the destination’s storage model are different decisions. HubSpot mobile Breeze voice input enters an AI-assistant workflow. System Dictation or a local app can create text before it reaches HubSpot, but any note or activity saved to the CRM is still HubSpot account data.
For customer calls, credentials, health details, payment data, or regulated information, follow the organization’s approved CRM, AI, retention, and consent policies. Local recognition does not make the resulting CRM entry local.
6. Troubleshoot field focus before changing permissions
If Dictation fails everywhere, test one sentence in TextEdit and follow Apple’s checks for Dictation settings, shortcut, language, microphone, Voice Control, and connectivity. If TextEdit works, system recognition is available.
If only HubSpot fails, confirm that the record and field are editable, your user has permission, and focus is visibly inside the text area. Browser microphone permission applies to web features that capture audio directly; it is not the usual fix for macOS system Dictation.
7. Add IraVoice only for a specific Mac workflow
Use HubSpot’s mobile microphone first when speaking directly to Breeze Assistant. Use macOS Dictation first for an occasional CRM note or activity field on Mac.
IraVoice 0.7.1 is the separate option for macOS 26+ Apple-silicon Macs when recognition and supported formatting should run on the Mac across supported editable fields, or when a spoken customer update should become reviewable Markdown before it is placed in HubSpot. IraVoice does not sign in to HubSpot, read CRM records, choose associations, call Breeze, attach files, change properties, press Save, log an activity, or send a message.
