1. Define the legal artifact before choosing the microphone
A dictated brief, client email, research note, time entry, intake field, recorded memo, and filed document are not the same artifact. Some workflows place live text at a cursor. Others retain audio for a lawyer, assistant, or transcription service. A third group sends transcript text to a model for cleanup or drafting.
Write down the intended destination, matter, audience, retention period, and commitment step first. The recognition engine is only one component between speech and the saved, sent, billed, shared, or filed result.
- Live cursor text: identify the exact editable field and its save or send action.
- Recorded dictation: identify who receives the audio and when it is deleted.
- AI cleanup: identify which transcript text reaches which model or provider.
2. Map six data paths instead of accepting a “private” badge
Review microphone audio, raw transcript text, optional cleanup or generation, account and license traffic, telemetry or diagnostics, and the destination document separately. A local recognizer can still send transcript text to a connected cleanup provider. A service can discard audio while retaining text history. A locally produced draft can later sync through Microsoft 365, a practice platform, backup software, or a shared matter workspace.
Use the downloadable checklist on this page to collect current evidence for the selected product mode. Do not transfer a statement about one feature, platform, plan, or deployment into a broader claim about the whole legal workflow.
3. Start with Apple Dictation in the actual Mac workflow
Apple says Dictation can enter text at a supported insertion point. Turn it on under System Settings → Keyboard, choose the language and microphone, then test a representative passage in TextEdit before moving to the actual legal destination.
Apple tells users to inspect the text beneath Keyboard → Dictation to learn whether the current configuration needs an internet connection or processes general Dictation voice inputs and transcripts on the device. Third-party apps can also request separate Speech Recognition access, so confirm which control actually owns the microphone.
- Test party names, citations, defined terms, dates, amounts, and matter numbers.
- Confirm the cursor stays in the intended field during pauses and corrections.
- Review the resulting document’s sync, backup, sharing, and retention separately.
4. Treat Microsoft 365 Dictate as a connected speech service
Microsoft documents Word Dictate on Mac as a signed-in Microsoft 365 feature that needs a reliable internet connection. It says speech utterances are sent to Microsoft to provide text results and that the service does not store the audio data or transcribed text.
Microsoft’s connected-experiences documentation identifies Dictation microphone audio as content processed by Microsoft and explains separate controls for personal, work, and school accounts. A firm should evaluate the applicable account, tenant policy, data-processing terms, service region, and destination document rather than assuming that Word’s document storage and Dictate’s speech processing are one boundary.
5. Do not buy the Windows Dragon product for a Mac workflow
Nuance’s current Dragon Legal v16 page describes a locally installed legal speech product optimized for Windows 11 and compatible with Windows 10. It highlights a specialized legal vocabulary, custom words, commands, Auto-texts, live dictation, and prerecorded-audio transcription.
Nuance separately describes Dragon Legal Anywhere as cloud-hosted legal-specific recognition. Its deployment, browser or virtual-environment support, administration, contracts, and data path require their own enterprise review. Product-family branding does not make the locally installed Windows edition a native Mac application.
6. Test legal vocabulary with a representative correction set
A general accuracy percentage does not show how a product handles the firm’s party names, citations, statutes, defined terms, abbreviations, dollar amounts, dates, docket numbers, or jurisdiction-specific vocabulary. Build a short, reusable test set from non-confidential or synthetic material that resembles the work without exposing client information.
Record substitutions, deletions, insertions, punctuation changes, capitalization, formatting, correction time, and destination-field failures. Repeat the same passage, microphone, room, and settings before comparing systems. Do not call one trial a universal accuracy ranking.
7. Separate confidentiality duties from product claims
ABA Model Rule 1.6 says a lawyer must make reasonable efforts to prevent inadvertent or unauthorized disclosure of, or access to, information relating to a representation. The Model Rules are a starting point, not a substitute for the governing jurisdiction, client instructions, court rules, contracts, or firm policy.
ABA Formal Opinion 512 addresses generative-AI tools and includes competence, confidentiality, communication, supervision, candor, and fee considerations. Apply that additional review when dictated text is sent to a generative cleanup or drafting system; do not describe ordinary speech recognition as generative AI merely because both can appear in one product.
8. Keep save, send, bill, share, and file as explicit actions
Speech recognition can produce fluent text with the wrong name, amount, date, negation, citation, recipient, or matter. AI cleanup can silently remove a qualification or make prose sound more certain. Neither process knows whether the text is ready to become legal work product.
Stop Dictation, inspect the full artifact in context, verify recipients and attachments, use version history or recovery controls where available, and let the responsible person choose Save, Send, Post, Bill, Share, Sign, or File.
9. Place IraVoice inside the same vendor review
IraVoice 0.7.1 is a held-key text-input option for macOS 26+ Apple-silicon Macs. Its speech recognition and supported formatting run on the Mac. It can supply text to a supported focused field or use a reviewable clipboard fallback, and paid continuation performs a license-key verification.
IraVoice does not include a specialized legal vocabulary, record depositions, transcribe stored matter audio, read case files, connect to a practice-management system, choose recipients, save documents, file pleadings, or establish privilege, confidentiality, security, compliance, or professional approval. Test it only if that narrow local Mac text path solves a measured workflow problem.
